ORAL PRESENTATION GUIDELINE
- Time allowed – 12 minutes for presentation and 3 minutes for questions and answers.
- Recommendation – Approximately 1 slide per minute.
- Please prepare your presentation in PowerPoint or pdf.
- The PowerPoint slides for your oral presentation should be preferably in 16:9 aspect ratio.
- Audio-visual testing facilities will be available to review presentations at the conference center. Each powerpoint file, with “name.session.time” in the file name, should be turned over to the audio-visual manager preferably the day before the presentation.
- All presentations must be uploaded one hour before the first speaker of the given session begins at the very latest.
- Please don’t forget to bring an extra copy of your presentation to the event (on a USB stick or by sending it to your email).
- If you wish to incorporate videos in your presentation, make sure you check that it works at the computers at the venue well beforehand (it is best to do this the day before your presentation).
- Please note, you will not be able to play your presentation directly from your laptop and you must visit the speaker preview room to provide us with your presentation.
- Please come to your assigned session room 5 minutes in advance to fine-tune the session with the session chairs and other presenters.
- Every room is equipped with a laptop, projector and screen. A microphone for the speaker and a second microphone are also available.
- Technical assistance will be available in each room.
- Session chairs will introduce each presenter.
- Session chairs will advise you, when you have 5, 3 and 1 minute of the remaining (of the 15 minute slot).
- Time will be strictly enforced. Please be respectful of your fellow presenters and their allocated time by staying within the time allowed and complying with the session chairs if they ask you to wrap up.
POSTER PRESENTATION GUIDELINE
- Poster board size is: 2.0 m (height) x 1.0 m (width).
- The size of the poster should be A0 – 84.1cm (width) x 118.9cm (length) or 33.11 inches (width) x 46.81 inches (length).
- The posters must be displayed in PORTRAIT format (NOT landscape).
- Templates are not required or provided
- Please ensure you create posters that are as professional and visually appealing as possible, and that you use a font size that can be read from an arm’s length from the poster.
- Your poster must be printed on paper and do not use any form of lamination but printing on a cloth or plastic sheet to ease your travels is perfectly ok.
- Material to fix your poster on the board will be available on site. The poster boards are cork and pins will be used to attach your poster. Pins will be provided.
- Your poster board should have the number indicated in your notification letter.
- Presenters are responsible for mounting and dismounting their posters during the designated times, which you will receive at a later date.
- Presenters should take down their posters by the end of the day that they are presenting. If poster aren’t collected by the end of the final day (Thursday), they will be recycled.
LIGHTNING TALK FOR POSTER PRESENTATION
- Time allowed – max 3 minutes for presentation and no questions and answers (discussion should be done in front of the poster).
- We kindly ask for early upload at the IT centre, as the presentations need to be displayed quickly and no direct uploads in the conference room will be allowed
